Authentication and Legalization of Documents

Since Canada did not sign the Hague Convention of 5 October 1961 "Abolishing the Requirement of Legalisation for Foreign Public Documents", the term "apostille" is not applicable to documents outgoing from Canada to be used in Kazakhstan.  Unlike Canada, Kazakhstan has joined this Convention by way of accession as a non-member on 5 April 2000, and the convention entered into force on the territory of Kazakhstan on 30 January 2001.

Thus, in order for any personal or commercial documents outgoing from Canada to be formally used in Kazakhstan, they have to be legalized.  

In short, the whole legalization process consists of 4 stages: notarization, authentication at Global Affairs of Canada, translation the actual document and all legalization stapms on it and actual consular legalization at the Embassy of Kazakhstan in Ottawa

In order for Kazakh Service Centre to provide authentication and legalization services, it is necessary to supply the following documents:

     For personal documents

1. Cover Letter using this template.
2. Actual original or certified true copy of the the document that will be legalized. Please be advised that  Power of Attorney has to be on English only, please do not translate any documents into Russian/Kazakh in Canada. We will do it ourselves in Ottawa via our certified translator.
3. Certified true copy of your curent Canadian passport (ID page only). In case if different citizenship, certified true copy of curent home country passport;  copy of Canadian Permanent Resident Card or any Canadian document allowing legal stay in Canada such as study or work visa.
4. Power of Attorney using this template (You will need to certifiy your signature by notary).
5. Payment  (please contatc us, as each case is unique). 
6. Prepaid return envelope or we can do it for you for additional cost. 

     For business documents

1. Cover Letter printed out on the Company letterhead using this template.
2. Actual original or certified true copy of the the document that will be legalized. Please be advised that Power of Attorney has to be on English only, please do not translate any documents into Russian/Kazakh in Canada.We will do it ourselves in Ottawa via our certified translator.
3. Regular photocopies of  the Company legal documents (Article of Incorporation; Legal foundation documents) and copies of documents confirming the legal capacity of the person who sign the cover letter and request the legalization.
4. Certified true copy of  curent Canadian passport (ID page only) of the person who has the legal capacity to sign the company cover letter and request the legalization.. In case if different citizenship, certified true copy of curent home country passport;  copy of Canadian Permanent Resident Card or any Canadian document allowing legal stay in Canada such as study or work visa.
5. Power of Attorney using this template (You will need to certifiy your signature by comissioner or notary).
6. Payment  (please contatc us, as each case is unique). 
7. Prepaid return envelope or we can do it for you for additional cost.          

Where to Send Your Documents

After we receive all the documents, we will issue you the invoice/receipt for the payment made and let you know when you should expect your documents back. Usually, it should take approximately 1 week for your visa to be issued and sent back to you.

Your documents will be returned by Canada Post regular mail free of charge. If you need your documents to be returned by courier mail, please enclose a self-addressed prepaid envelope with postage paid or completed express mail waybill (FedEx, Purolator, UPS, DHL, Canada Post are accepted but FedEx preferred due to best service quality). 

Once our office has received your package, one of our representatives will contact you to begin the process of keeping you up to date regarding the receipt, progress and completion of your documents.  Or you can choose to contact our representative yourself to make sure your documents have been forwarded.
